Congregation & Communications Administrator

The Congregation and Communications Administrator (“CUUC Administrator”) provides communications and administrative support for ministers, staff, committees, congregational activities, and building rentals. The Administrator is responsible for a wide variety of general office management responsibilities, and represents the face of the congregation in many interactions with our members, vendors, neighbors, and other organizations. Strong communication and organizational skills are required as well as an understanding of and experience in multiculturalism, anti-racism, and anti-oppression work.

Core Competencies

Organization and Planning: Organizes people, funding, materials, and support to accomplish multiple concurrent goals and activities. Able to work independently and manage time effectively within the weekly worship service cycle and congregational year

Attention to detail: Consistently attends to the many small pieces that make up an organized whole; resolves unanswered questions needed to address a problem; keeps the larger picture in mind while attending to the smallest of details.

Interpersonal skills: Works collaboratively with people at all levels of the congregation, particularly Board members and committee leaders. Uses diplomacy and tact, is approachable, and is widely trusted to keep confidences and admit errors.

Technical expertise: Acquires and demonstrates the technical skills required to proficiently execute the essential functions of the job; understands which skills are lacking and seeks to develop those skills; continually works toward the mastery of technical proficiency.

Essential Functions

Serves as communications coordinator, contact person, and receptionist for congregation staff, lay leaders, members, and the public.

  • Answers the phone during office hours, and follows up on voicemail and mail.
  • Answers email messages, including those received via the congregation website.
  • Tracks stock and orders office and building supplies.
  • Develops familiarity with technical and mechanical systems within the building.

Coordinates the design and production of congregation communications, working collaboratively with ministry, staff, and lay leaders.

  • Prepares weekly e-Communitarian newsletter, worship announcement slides, online order of service, annual report, and stand-alone email alerts. Includes copywriting and copyediting.
  • Prepares online and printed Sunday order of service and selects weekly Braille hymnal pages.
  • Updates information on the CUUC website, Constant Contact email marketing site, and Realm online database.
  • Promotes regional, congregation, and community events and messages on social media, including the public Facebook page and private Facebook group.
  • Updates CUUC information on the UUA online database.
  • Presents a friendly, helpful, and welcoming presence when greeting and assisting members and visitors.
  • Oversees the online Google calendar for building and Zoom use.

Schedules and plans in-person use of the building and property, and online use of Zoom meeting space, for the congregation, staff, ministry, and rentals.

  • Updates in a timely manner the online congregation Google calendar.
  • Assigns Zoom online meeting space as requested.
  • Attends monthly programming meetings.
  • Schedules, supports, and invoices building rentals.
  • Coordinates and communicates with custodial staff.

Skills / Knowledge / Physical Requirements

  • Proficient in Microsoft Office (Excel and Word), Google Workplace, and social media platforms with a willingness and ability to learn web-based tools such as Canva, Constant Contact, Zoom, Realm, and WordPress.
  • Graphic design experience is a plus.

Qualifications

Note that qualifications may be met as a result of lived experience, volunteer work, professional experience, and/or formal or informal training. Requirements include:

  • High School Diploma or equivalent required.
  • College coursework preferred (writing, editing, proofreading).
  • Three or more years experience in a related field, preferably in a congregation or nonprofit setting.
  • Excellent interpersonal and communication skills.

Reports to: Minister
FLSA Status: Exempt
Hours and Schedule: Full time, 35 hours per week, on-site in the CUUC office at least three days per week, with regular hours to be determined.
